Terms of Service

1. Agreeing to these terms

By creating an account on Roote PR System (“the Platform”) or using it on behalf of an organisation, you agree to these terms. If you are accepting on behalf of an employer or client, you confirm you are authorised to bind them.

If you do not agree, do not use the Platform.

2. What the platform does

Roote PR System is two things in one place:

• Campaign and coverage management. Recording the work you publish — campaigns, press releases, pitches, media lists, coverage items and evidence — and turning it into client-ready reports.
• A consumer research panel. Putting short paid questions to ordinary members of the Tanzanian public on their own phones, over USSD and WhatsApp, and returning the verified results to you as findings you can attach to a campaign report.

We may add, change or withdraw features. Where a change materially reduces what your plan includes, we will tell you before it takes effect.

3. Your account

• Register with accurate details, and keep them current.
• New accounts are created with pending status. We review each one and may approve or decline it. We are not obliged to give reasons for declining.
• You are responsible for everything done under your credentials, and for the people you invite into your workspace.
• Tell us promptly at support@roote.co.tz if you believe an account has been compromised.

4. Trials, plans and payment

• Every plan starts with a 14-day free trial. No card is required to begin, and nothing is charged during it.
• After the trial, continued access requires an active subscription. Invoices are issued in Tanzanian Shillings.
• Fieldwork is billed separately from your subscription, on the basis set out in section 5.
• Unpaid invoices may lead to suspension under section 11. We will always contact you first.

5. Buying fieldwork

When you field a study, you are buying verified responses.

• Every response is checked before it counts — for duplicate photographs, impossible completion times, straight-lined answers and location that does not match the ward you asked for.
• You are billed only for responses that pass. Responses we reject are still paid for in airtime, because a panelist who answered honestly should not carry the cost of our checks. That cost is ours, not yours and not theirs.
• We report the achieved sample and every exclusion openly. We do not guarantee a particular sample size, a particular response rate, or any particular finding. If fewer panelists match your criteria than the sample you asked for, we tell you before the study is fielded.
• Findings describe the people who answered. They are a sample, not a census, and we make no warranty that they are representative of any wider population beyond what the study documents state.

6. How you may use findings

Findings are yours to use in your own reporting, pitching and planning. You must not:

• attempt to identify, contact or re-contact any individual panelist, or combine findings with other data in an attempt to do so;
• present findings in a way that misstates the sample size, the fieldwork dates, or the exclusions we disclosed;
• attribute a finding to Roote PR System in a way that implies we endorse a product, a claim or a client;
• resell raw response data as a dataset. Using findings inside reports and advice you provide to your own clients is expressly permitted.

7. Panelists are ours, not yours

This is the part people most often get wrong, so it is stated plainly.

• You receive findings — aggregated results, and individual responses stripped of anything identifying the person who gave them.
• You never receive phone numbers, names or any other identifier of a panelist.
• The panel is shared. Other subscribers, including your competitors, may field studies to the same people. We do not offer exclusivity over the panel.
• We may decline to field a study, or to reward a response, where doing so would breach our obligations to panelists or the law.

8. Your content and data

Campaigns, clients, coverage, evidence and reports you put into the Platform remain yours. You grant us only the licence needed to host, process and display that material so the Platform can work for you.

How we handle personal data is set out in the Privacy Policy, which forms part of these terms.

9. Our intellectual property

The Platform itself — its software, design, and the methods behind panel verification and reward — belongs to Roote PR System and is protected by copyright, trade mark and other laws. Nothing here transfers it to you.

10. Availability and liability

We work to keep the Platform available and accurate, but we provide it “as is”. We do not warrant uninterrupted or error-free operation, and delivery over mobile networks depends on operators we do not control.

To the fullest extent the law allows, we are not liable for indirect, incidental, special or consequential loss, or for lost profits, revenue, data or goodwill. Our total liability in any twelve-month period is limited to the amount you paid us in that period.

Nothing in these terms excludes liability that cannot lawfully be excluded.

11. Suspension and termination

• You may cancel at any time from Billing. Access continues to the end of the paid period.
• We may suspend or close an account for breach of these terms, for non-payment, or where continuing would put panelists or the Platform at risk. Except where the breach is serious, we will give you notice and a chance to put it right.
• On closure you may export your data for 30 days. After that it may be deleted.

12. Governing law

These terms are governed by the laws of the United Republic of Tanzania, and the courts of Tanzania have exclusive jurisdiction. Our handling of personal data is subject to the Personal Data Protection Act, 2022 and its regulations.
